Broker Procedures: | Broker state "B9" is assigned to the automated client quotation email task. When a number of proposal contracts have been uploaded, the client quotation email may be created. |
B9 Client Quotation (CQ): | When at least 3 energy provider proposed rates have been uploaded for all services, then the Client Quotation (CQ) can be automatically created. The set of current contracts show historical costs. The set of proposed contracts show future potential costs. | This task is fully automated and the result can be sent by automated email to the client for approval. The automated email service ensures that the client data is encrypted and that the time when the client views the data is recorded. | Productivity is maximised as no data entry is needed to create all Client Quotation (CQ) documents. |
Quotation Service: | The broker may click the icon to cause the client quotation to be generated and emailed to the client. When the client views the quotation is monitored. If the client does not view the quotation in nn days, the broker with the sales account manager may resolve the delay. | To minimise delays, the client may click the "accept" icon against a specific proposed contract. The client may trigger the broker task B10 without any other manual activity. |
Document Management: | Procedure B9 creates a Client Quotation document that is stored as a client task attachment to be emailed to the client. The client task list may be filtered to view all Quotation documents in date order for any client. Each Quotation document includes a client acceptance button that will undertake procedure B10. When client acceptant procedure B10 has been undertaken, the client quotation is no longer valid because no proposed contracts exist. |
Executive KPI: | A client accepting a quotation is an important task that is designed to be easy to monitor and measure, even while the client is viwing the quotation. Encrypted security is built into this task so company confidential information cannot be recorded by agencies, data cannot be changed and data cannot be lost. | Continual monitoring and measurement of quotations is reported by the day, month and 12 month trends. Data integrity is assured as no manual spread sheet work is involved and transacription errors are eliminated. |
