5.4.01 M6 Deposit Procedure

1. M6 Deposit Procedure:
1. Periodically, it is a business requirement to request one or more energy providers for details of all client deposits held.   In accordance with LoA approval, energy providers are invited to provide the amount of deposit and date when it is expected to be repaid for each supply number.   This applies to every current and historical contract.
2. It is a business requirement to enable the energy provider to view the current LoA for each client involved.   Using BG as an example, 100 LoA documents are involved where each document may be 100 KB.   To multiply this up for all energy providers, would see more than 200 MB of data being communicated.   When the energy providers try to return this amount of data, then network issues could become significant.
3. The only viable solution is to switch to a fully on-line service for the energy provider.   The energy provider will be able to view LoA documents as and when they choose and will be able to provide deposit details as and when they choose.   All deposit data is entered directly into the Bespoke Application Service by the energy providers.   This means that the business has no data entry costs and will not create data entry transcription errors.

2. To Do:
1. The "email" button is to be added to the deposit menu bar = after approval.
2. The "LoA" button does a download of the document - this could be simplified to a popup view.
3. Management of this procedure may not be practical.   Where an energy provider does not enter any deposit amounts or select any payback dates, this may be 100% complete and correct.   The procedure involves many thousands of services, but methods have not been designed to identify where the data is correct or missing.
4. The quality of this data will decay rapidly and energy provides will need to be asked for details on a regular basis.   Some way to link deposit amounts with contract start may be needed - data may be better coming from clients.

3. Business Procedure:
1. From the broker dashboard page 3001, click the "Provider" button in the data diagram topic.
2. From the provider spread sheet page 3527, click on any row to select one energy provider such as BG.
3. From the provider long page 3526, click the "Deposit" button in the top menu.
4. From the welcome page 3076, click the "Email" button in the top menu (to be delivered).

4. Energy Provider Procedure:
1. From the email envelope, click the "deposit" link - welcome page 3076 is shown.
2. From the welcome page 3076, click on any "LoA" button to popup the clients letter of authority.
3. From the welcome page 3076, enter any Deposit Amount - "saved" will be shown.
4. From the welcome page 3076, elect any Payback Date - "saved" will be shown.

5. Follow Up Procedure:
1. It is assumed that some energy providers may choose to ignore the deposit request.
2. An energy provider task is created so Eliza can monitor the email and report if the deposit welcome page is viewed or ignored.
3. It is assumed that the email may be ignored where the email address is no longer the correct email address to deal with deposit matters.
4. Eliza shall monitor and report if the welcome page is viewed.
5. Eliza shall verify every deposit amount and payback date, and update the applicable service.
6. The deposit details are shown in the service spread sheet page 3267 - click on "Service" in the data diagram on the brokerage dashboard.
