35.03. Eliza Show Me: | 1. "Eliza Show Me" (ESM) is a demonstration and test service that is the responsibility of the Service Validation and Test Manager (SVTM). The bespoke Application Service (BAS) provides a large number of defined procedures such as "add new company". A procedure may involve any number of steps. Each procedure represents an approved unit of work that is defined in the Quality Manual in compliance with ISO 9001 Quality Management Standard. | 2. The Bespoke Application Service (BAS) has an open scope with continual evolutionary improvements (CEI) so approved people are able to select a guide and automated demonstration of any procedure at any time. | 3. When a significant improvement has been deployed, it is a business requirement to be able to rapidly validate each and every procedure to prove that it is operating according to its documented specification. Where an owner chooses not to document a procedure in their Quality Manual, then such a procedure cannot be demonstrated and cannot be validated. |
Demonstration: | 1. From an approved persons personal welcome page, the approved person may be shown the "Eliza Show Me" button to open the ESM dashboard that shows a link to each demonstrable procedure. | 2. Click to ask Eliza to Show Me how a selected procedure may be used. | 3. The default operation is fully automated with a one or two second delay between each step in the procedure. | 4. The approved person may stop the demonstration, may single step the demonstration forward or may step the demonstration backwards. | 5. When the demonstration is over, the approved person may repeat the same steps to complete the selected procedure. |
Validation: | 1. A Bespoke Application Service may involve thousands of pages with hundreds of procedures. | 2. When a significant improvement is deployed, it is comforting to be able to validate that every procedure continues to operate as expected. It may take many man-days to manually validate a Bespoke Application Service with the possibility that some little used procedures are overlooked. | 3. By fully automating the validation requirement, errors of omission are eliminated and the delays caused by manual validation are eliminated. Manpower is still needed to review the validation report generated by Eliza, but this has a minimum cost. |
How does it work: | 1. In the good old days, a YouTube video was hand crafted to demonstrate each procedure. While the cost of a YouTube video was significant, a continual problem was that each video rapidly became out of date and misleading. | 2. The YouTube video must not leak real business data, so each video had to use made-up data that may not be representative to the approved person who wants Eliza to show them using their real data in a secure way. | 3. ESM can only be viewed by approved people using that approved persons business information in a secure environment. | 4. Click to view the ESM dashboard and click to select a named procedure - the demonstration will then be shown. | 5. The ESM menu is always on show so the demonstration can be paused, stepped forward, stepped backwards, restarted or stopped. | 6. ESM works with real business information, adds new business information and is 100% real without any fakery. | 7. The Bespoke Application Service is able to be operated with many pages for use by desktops and with one page for use by smart phones. One-page operation includes the security benefit of one-time URL parameters so stolen URL data cannot be reused by a third party. ESM specifically works with the one-page design and one-time URL parameters to thwart hackers. |
Benefit: | 1. The cost and time taken to produce all the YouTube videos was not sustainable. | 2. The risk of accidentally leaking business information in a YouTube video was not acceptable. | 3. Approved people do not have the time and environment to watch a YouTube video when they simply need reminding how to use a procedure that is not used every day. Just a reminder of the navigation and terminology may be all that a person is looking for. | 4. By reusing the demonstration service as the validation service has an extra benefit. At least every week the Service Test and Validation Manager (STVM) will run all demonstration scripts as a means to prove that the demonstrations and procedures remain current and up to date. | 5. Procedures that Eliza has fully automated can be watched and reviewed by running the procedure in demonstration mode. When Eliza has been doing quarterly VAT returns automatically for a few years, it can be good to watch a demonstration as a reminder of what is being done automatically. |
Eliza Show Me how to add Minutes of Meeting document: | 1. Sign in and select the applicable person, company or project (contract). | 2. Click to show the diary. | 3. Click the date of the minutes - a default task for today is shown. | 4. Select the type of task as "Document" and "Minutes". | 5. Enter the name of the minutes document in the subject field. Overlook the "who" and "amount" fields. | 6. Click the left hand side task number - the minute document header is shown. | 7. Enter the distribution list and people who attended the meeting. | 8. Click the "Add Minute" button in the menu bar - a new default minute is appended below. | 9. Enter the Minute message and optional initials of who is responsible and follow up date. | 10. Repeat steps 8 and 9 as many times as needed for each minuted topic. | 11. Click the "Report" button in the menu bar - the minutes of meeting document is shown and may be printed and emailed. |
