33. Request for Information: | 1. A Request For Information (RFI) is a message communicated between two parties concerning a health and safety or construction subject. RFI may be thought of like a postcard that is sent by one party to another with an expectation of a reply. | 2. Where a person has any health and safety concern, that concern must be raised as a RFI or notified to he Site Manager in person. A RFI raised with the "private" marker may be treated as an annonomous for action by the recipiant, but without a reply. | 3. Personnel have the right to raise health and safety concerns including welfare matters at any time for any reason. All companies in the supply chain shall share all concerns that are not specifically addressed as a request to a specific person. |
2. Glossary of Terms: | OHS means "Occupational Health and Safety" in compliance with ISO 45001. | HSE means "Health and Safety Executive" as the UK regulation authority. | RFI means "Request for Information" as a message service. |
3. RFI Data: | 1. Site Identifier. | 2. Status: Draft, Sent, Viewed, Replied, Cancelled, Expired. | 3. Priority: Normal, Anonymous, Personal. | 4. Draft or Sent Date, Time and Who. | 5. Expiry Date and Time. | 6. Viewed or Replied Date, Time and Who. | 7. Subject (64). | 8. Message (512). | 9. Reply (256). |
4. Priority: | 1. Normal means a shared RFI message from a named person to a named person that is shared with all companies in the supply chain. | 2. Anonymous means a RFI message from an unnamed person to a named person that is shared with all companies in the supply chain. | 3. Personal means a RFI message from a named person to a named person that is not shared with any other person. |
5. Who: | 1. RFI messages can only be communicated between approved people who are known to the project. An anonymous RFI message will hide the authors identity. | 2. RFI messages are encrypted because they may contain private, confidential and sensitive information that cannot be disclosed by email. An email link may be sent to the recipient to notify them that a RFI message needs their attention, but the email shall only leak the subject and not the message. | 3. RFI messages are monitored 24*7 so they cannot be lost. The recipient has a choice to:- | (1). Click the link to consent and view the RFI message. The author will be able to see when the RFI is viewed. | (2). Click the link to unsubscribe so they do not see the RFI message. The author will be notified. | (3). Ignore or delete the email notification. The author will be notified when the RFI message expires. |
