Renewal Process:
1. Steps B3 to B7 of brokerage are collectively used as the Renewal Process.
2. Renewal is a process of many documented procedures to include:
  B3. Request Consumption procedure.     Add Reading-Consumption. Change current contract with annual consumption and calculate annual spend.
  B4. Request Rates procedure.     Add Proposed Contracts with rates, units and costs.
  B5. Customer Quotation procedure.     Change a proposed contract to accepted and others to rejected. Send acceptance to supplier and request start date.
  B6. Contract Start procedure.     Change a accepted contract to current. Add initial reading.
  B7. Termination Notice procedure.     Manage contract termination. Send termination to supplier.

Benefit:
1. Each procedure has an outcome that collectively become this renewal process benefit. The key benefit of a renewed contract is another years commission from a content customer that is easy to measure and forecast.
2. It is not reasonable to request a renewal KPI because renewal is a set of procedures that are dependent on external actions over a period of time.
3. Task management is the one factor that differenciates businessess that cannot grow from those that can grow.   When more than 80% of all work is scheduled as tasks, then the business can scale to any size without a corresponding increase in manpower and costs.   When less than 20% of work is scheduled as tasks, then the business cannot scale because the formal procedures needed do not exist and next week will be different from this week.

Renewal Procedure:
1. Every person and every business has renewable contracts that are periodically renewed.
2. Renewal can be reactive where renewal is triggered when the supplier provides a new contract and invoice.
3. Renewal can be proactive and scaleable where renewal is scheduled and managed using task management, work flow and quality management in accordance with ISO 9001.

Task Management:
1. For a business to be scaleable, work should be planned in advance using task management and quality management standards.
2. Task management simple means scheduling events in advance and then managing those events as work flow units - renewal is just one type of task.
3. When a contract is started a number of tasks are scheduled to plan future work flows - renewal is just one of those tasks to be scheduled.
4. Tasks may be scheduled for different people who may view their tasks in a day-to-view, week-to-view or month-to-view diary.
5. Executives can identify future work flow bottlenecks and strategically plan how best to cope with that situation before it happens.

Critical Success Factor (CSF):
1. Executives wishing to build a business that is scalable, must be able to delegate tasks and monitor what is taking place.
2. Where an executive defines that the renewal of a contract is a CSF, then the executive can monitor the renewal procedure and step in if any delay is suspected.
3. As a business grows, more tasks must be delegated and yet executives still need real-time control over all scheduled tasks so they can see each day, how their business is operating.
4. CSF enable an executive to take on a strategic growth role, rather than being bogged down with operational matters, while still keeping control of the business.

Key Performance Indicators (KPI):
1. As a business grows, management information must grow to make sure that all planned work is being completed on-time everytime.
2. Task management is the key to building a business that can grow and be managed with KPI to simply count when-who-did-what.
3. The number of renewals scheduled for each calendar month is a valuable KPI to indicate how much renewal work people must do in that month.   Some renewals can be rescheduled to be done earlier to smooth out the planned work and to cope with vacations and holidays.
4. KPI enable an executive watch their business operate in real-time without their intevention into what each person is doing.

Quality Management Standard (QMS):
1. Task management is critical, but real growth comes when quality management is added.
2. Working hard doing the wrong thing is not productive, but many small businesses are so busy doing things their own way, that the business will never be scaleable, efficient or effective.
3. Quality management is added so defects can be identified and managed with Corrective Action Plans (CAR).   Each CAR is intended to discover the root cause of the defect and put in place control measures so such a defect may never happen again.
4. Continual Evolutionary Improvements (CEI) are the sign that the business is capable of scaleable growth with increasing levels of productivity.   Renewals are a task that each person and each business must work at with task management and quality management to be sucessful with financial freedom.


Appendix

Continual Improvement Request (4363 + 4364):
1. An improvement request has been talked about but a documented business requirement has never been produced.
2. To help, this improvement request has been authored based on heresay and speculation, rather than knowledge of the owners business requirement.
3. The owner is free to review and revise this improvement request until the improvement requests matches their business requirement.
4. The only limitation is the imagination of the owner in how to improve their productivity and effectiveness.
5. An additional list of contracts will be shown as a renewal report - click a button to view the renewal report.   Click on any contract row to view the contract form.
6. The renewal report only shows current contracts (K1524=127) that do not have a accepted contract (K1524=125) for the same service (K1505).
7. The renewal report may show the following columns:

8. Other columns may be shown for completeness testing and verification purposes by the Test and Verification Manager.   Any other column may be shown upon request.   Each and every field using by the bespoke application service has a unique data dictionary identifier and specification.
9. This report is optimised for use by a screen rather than use by a phone.   Page 4363 is the logical list by renewal date.   Page 4364 is an illogical list by renewal date range because that may have been mensioned in passing.

Business Rule 4363:
Show current contracts (K1524=127) where an accepted contract (K1524=125) does NOT exist for the same service (K1505).
Please note that this is a negative business rule and it is not reasonable to search for data that does not exist - this is an expensive rule that implies a poor solution that should be replaced with task management and quality management.

Date Range:
1. When a person requests a date range, it may be because they have not had an opportunity to read the guide that explains how every date column may be filtered by month.
2. By entering a filter value as "2018" only rows with a matching year will be displayed.
3. By entering a filter value as "201807" only rows with a matching year and month will be displayed.
4. By entering a filter value as "20180706" only rows with a matching year and month and day will be displayed.
5. As an alternative, a drop down list of year and month may be provided for selection by a selected month.
6. A list can extend to as many rows as is practical to be communicated over the network - so a date range is an illogical request.   Management information is designed to be presented by the calendar month, quarter or year - not by a range of dates as selected from day, from month, from year, to day, to month, to year - not very productive.   Business Intelligence is designed to present what is to be done today and what is to be done each day into the future using a diary and calendar.
