| 11.59 Contract Hire Service: | | 1. The business requirement is to manage the on-hire and off-hire of tools, equipment, machinery or plant as an asset. | | 2. A hierarchical data structure is provided as:- | | (1) Supplier relationship management. Many idenpendent contracts may exist with the same supplier. | | (2) Contract management service for each hired asset. | | (3) Stock Control for each hired (and purchased) asset an optional named person with responsibility for the asset while it it on-site. | | (4) Task management with a diary of scheduled events and evidence of when who did what. | | 3. The integration of this complex data structure into an easy to use Bespoke Application Service (BAS) is very cost effective, more productive and can reduce errors of ommission. | | 4. Continual improvements without limit to the Bespoke Application Service mean that as business requirements evolve with each building project, the Bespoke Application Service evolves at the same rate. This is NOT a fixed one-size-fits-all software product that matches the requirements of some customer, its a Bespoke Application Service that is designed to match the exact requirement of its customer. | | 5. All business data is encrypted in compliance with Data Protection regulations and replicated to a large number of secure data centers that host the UK broadband backbone. Glossary: | | SRM means "Supplier Relationship Management" as the way that supplier relationships are managed. | | CMS means "Contract Management Service" as the way that each hire contract is managed. | | TMS means "Task Management Service" as a diary of events when actions are scheduled to happen. | | On-Hire means a hire payment is being charged for a specific asset util the asset is Off-Hire. | | Off-Hire means hire payments have been terminated with collection expected within the next few days. | | Asset means hired tools, equipment, machinery and plant. |
| 3. Supplier Contract Hire: | | 1. Supplier data is a normal CRM to identify the company contracted to be paid on a regular or ad-hoc basis. | | 2. Contract data has a start and end date with regards to specific asset that is paid for by the day, week or month. | | 3. The contract will include the purchase value of the equipment for insurance and replacement liability in the event of loss or damage. | | 4. Contract amounts are recorded as net without VAT so taxes can be added at the rates applicable on the tax point date. | | 5. Diary task event is scheduled to return hired assets or request contract extension. | | 6. Hire of assets that are lost or stolen must be terminated with a termination cost as up to the defined replacement cost. | 7. Assets on site needs an adequate stock control service to assign responsibility for the asset.| 4. Task Management: | | 1. Every contract has an end date (B27.24) that is a task for the asset to be returned or the contract renewed. | | 2. Every stock responsibility has an end date (B28.24) that is a task for responsibility to be extended or the asset to be returned. | 3. Every contract has (one or more) payment dates based on the start date and payment period - every payment date is scheduled as a task and provides a cash flow schedule for the duration of the project.
